Account & Profile — Getting Started

This section covers account creation and profile completion — the foundation you need before registering for any conference.

Step 1 — Create Account

Sign up using your email and a secure password, or use Google Single Sign-On for one-tap access. After signing up, verify your email address through the confirmation link sent to your inbox. This verification step protects your account and enables full access to conference features.

Step 2 — Complete Professional Profile

Once logged in, complete your profile with the following required fields:

  • Medical Council Number (mandatory)
  • Medical Council State (dropdown)
  • Designation (Postgraduate / Consultant / Professor / Faculty)
  • Hospital / Institute
  • Speciality and Super Speciality (if applicable)
  • Contact Number and Postal Address
A completed profile ensures that your conference badge, certificate, and receipts are generated correctly. You can always edit this information later from the profile page.

Presenter Workflow

Presenters can submit abstracts, upload posters, choose presentation preferences, and monitor acceptance status in their dashboard. The system enforces the "one paper + one poster" rule per presenter to maintain fairness.

Organizer Tools (overview)

Organizers manage registrations, abstract approval, session assignment, and publication of the final program using a secure admin portal. The delegate app automatically syncs changes to the published program.

Conference Registration — Complete Step-by-Step Guide

This section walks you, in detail, through the entire process of registering for a specific conference — from discovery to payment and post-registration actions.

1. Discover & Select an Event

From the app home screen or Conferences tab, browse upcoming events. Use filters to narrow by specialty, date, location, or membership status. Tap a conference card to view the event detail page which includes: brief description, city & venue, dates, organisers, key speakers, brochure download, and a prominent Register button.

2. Review the Conference Details Carefully

On the event page, review the scientific program, workshop list (with seat counts), registration categories and fees, and accommodation information. Important items to check before registering:

  • Registration deadlines (early bird, regular, on-spot)
  • Workshop timings and seat availability
  • Eligibility for member discount (membership number required)
  • Cancellation & refund policy

3. Tap Register — Registration Form Explained

The registration form is split into clear sections. Most fields are auto-filled from your profile but can be edited for the current registration if needed.

  1. Delegate Details — Name, email, phone (auto-filled). Update if you are registering someone else or an accompanying person.
  2. Medical & Membership Verification — Medical Council number and state will be displayed. If the organiser requires membership validation (e.g., society member discount), you may be asked to upload a membership ID or the system may verify automatically using your stored details.
  3. Category Selection — Choose your registration category: Member / Non-Member / Post Graduate / Faculty / Chairperson. The app immediately displays the fee for the chosen category and any member discounts applied.
  4. Workshops & Sessions — Available workshops are listed with seat counts and timing. Select workshops you want to attend. Note: workshops have limited seats — if a workshop is full it will be shown as unavailable and you can join a waitlist (if enabled).
  5. Accompanying Persons — Add accompanying persons (name, relation, and fee). Dietary preferences and badges can be entered here.
  6. Additional Options — Choose add-ons like gala dinner, conference dinner, or printed proceedings where offered.
  7. Invoice Details — Provide billing name and GST details if you require an invoice for institutional reimbursement.
  8. Promo Code / Discount — Apply promo codes if available; the app recalculates totals in real time.
  9. Terms & Confirmation — Check boxes for consent to terms, data sharing (if any), and photo/video consent for event coverage.

4. Review & Checkout

Before proceeding to payment the app shows an itemized summary: registration fee, workshop fees, accompanying persons, taxes, discounts, and the grand total. Important features at checkout:

  • Seat Hold Timer: When you click Proceed to Pay, the selected workshop seats (if any) are held for a short period (e.g., 10 minutes) while you complete payment. If payment is not completed within the hold time, seats are released back to inventory.
  • Multiple Payment Methods: UPI, Debit/Credit cards, Netbanking, and Wallets (as enabled by the organiser) are supported.
  • Secure Gateway: All transactions are processed via PCI-compliant payment gateways and the app provides a transaction reference and confirmation screen on success.

5. Post-Payment Actions

When the payment is successful you will see a confirmation page with:

  • Registration ID / Reference Number
  • Digital Conference Badge (with QR code for check-in)
  • Downloadable receipt & invoice
  • Saved entry under My Conferences with all details

An email and an in-app notification containing the registration summary and receipt are also sent immediately. If a payment fails, the app shows a clear error and the registration remains incomplete — you can retry payment or contact support.

6. Editing, Cancellation & Waitlists

If organisers allow edits, you can modify your registration (change workshops or accompanying persons) from the My Conferences page before a specified deadline. Cancellation and refund policies vary; the app will show applicable refund rules on the event page. If a workshop is full you may join a waitlist — the app will notify you if a seat becomes available.

7. On the Day — Check-in & Badge

At the venue, use your digital badge with QR code for quick check-in. Organisers may also provide on-spot registration counters for last-minute delegates. The app's check-in flow records attendance which can be used to issue participation certificates later.

8. Troubleshooting & Support

If you face issues during registration or payment, use the Help / Contact option on the event page to reach event support. Include your registration reference number in all communications for faster resolution.

9. Example Walkthrough (Summary)

  1. Open the Conferences tab → Choose "KSCASICON 2026" → Tap "Register".
  2. Confirm your profile details, select "Postgraduate" category, add 1 workshop, add 1 accompanying person.
  3. Review totals, apply promo code (if any), tap "Proceed to Pay". Complete payment via UPI or Card.
  4. Receive confirmation, view digital badge & receipt, open My Conferences to see registration details.
